1. Legal Requirements
We operate a strict Challenge 21 policy. Anyone who appears under 21 may be asked to provide a valid photo ID to purchase alcohol. We cannot serve alcohol to anyone under 18, anyone who is intoxicated, or anyone behaving aggressively or inappropriately. We also reserve the right to refuse service to individuals attempting to purchase alcohol for someone underage or who have previously refused service. All decisions made by our team are final. In certain situations, we may close the bar if behaviour becomes unsafe or disruptive.
2. Licensing
Where required, Mobile Tin Box Bar will arrange any necessary Temporary Event Notice (TEN) or alcohol licence on your behalf, subject to approval from the relevant authority. Licensing costs are included in your booking. All serving times will comply with licensing regulations.
3. Drinks Service
Unless agreed in advance, Mobile Tin Box Bar will be the exclusive provider of all beverages during bar operating hours. Guests are not permitted to consume outside drinks once the bar is open. Failure to follow this may result in partial or full retention of your deposit.
4. Pre-Event Drinks (e.g. Wedding Breakfast)
Any drinks provided before our service (such as table wine) must be cleared away before the bar becomes fully operational. This includes opened and unopened bottles. These items should be stored safely and out of guest access. Once our agreed start time begins, we become the sole drinks provider.
5. Guest Awareness
Please ensure your guests, caterers, and venue staff are aware of these terms to avoid any confusion on the day.
6. Stock Availability
We offer a wide selection of drinks, but on occasion, popular items may run low. If you anticipate high demand for specific drinks, please let us know in advance, and we will do our best to accommodate.
7. Water
Due to the nature of mobile bar setups, especially in outdoor locations, fresh running water is not always available. Bottled water will be available for purchase.
8. What We Provide
We supply all bar equipment, staff, beverages, and appropriate drinkware for your event.
9. Power & Utilities
A standard 13amp power supply is required within 40 metres of the bar location. Access to fresh water is appreciated where possible.
10. Access Requirements
Adequate access is essential. The horsebox measures approximately 2.2m wide, 2.6m high, and 6m long when in use. A level surface is required for safe setup and operation.
11. Setup & Pack Down
We require approximately one hour to set up before service and around 45 minutes after closing to pack away. For weddings, please share your schedule so we can avoid key moments such as ceremonies or speeches.
12. Parking
We require a nearby parking space for our support vehicle to allow easy access to stock. We will position this as discreetly as possible, particularly for weddings.
13. Payments (Card Facilities)
To process card payments, we require a reliable 4G signal or WiFi access. If WiFi is provided, please share login details ahead of time. Without connectivity, we may not be able to offer full service.
14. Booking Fee
A non-refundable booking fee of £250 is required to secure your date. Your booking is only confirmed once payment is received. Payment confirms acceptance of these terms.
15. Minimum Spend
A minimum spend of £1500 applies unless agreed otherwise. A £500 deposit is required to secure this, paid in two instalments of £250 (due two months and one month before the event). This deposit is fully refundable if the minimum spend is met.
16. Minimum Spend Details
The minimum spend ensures the viability of providing our service. If the £1500 target is reached, your £500 deposit will be returned within two working days. If not met, this may be due to lower attendance, outside drinks being consumed, or pre-event drinks remaining in use.
17. Cancellations
If you need to cancel or reschedule, please inform us as soon as possible. If more than 90 days’ notice is given, we will aim to transfer your booking to a new date (subject to availability). Booking fees are otherwise non-refundable.
18. Late Cancellations
If cancellation occurs after minimum spend payments have been made:Within 2 months: loss of £250 deposit + booking fee Within 1 month: loss of the full £500 deposit + booking fee.
19. Disclaimer
Mobile Tin Box Bar cannot be held responsible for failure to deliver services due to circumstances beyond our control, including extreme weather, accidents, or other unforeseen events. By booking with Mobile Tin Box Bar, you agree to the above terms and conditions.
